Collections Intern

Salary Range: $13 per hour

The collections department of the Eiteljorg Museum of American Indians and Western Art seeks an intern interested in learning about and assisting in safe object handling, archival housing, exhibition preparation, and various aspects of working with a collections management system (The Museum System).

Position Overview: 

The collections department of the Eiteljorg Museum of American Indians and Western Art seeks an intern interested in learning about and assisting in safe object handling, archival housing, exhibition preparation, and various aspects of working with a collections management system (The Museum System).   

The Collections intern will report to the Collections Manager, and interact with the Exhibition Manager, Preparator, and Director of Collections on a regular basis.  

The position is available during the fall and spring semesters from August 17, 2026 – April 30, 2027. There may be some flexibility with start and end dates. The intern is required to work a maximum of 16 hours per week (Monday-Friday) for 15 weeks in the fall and 15 weeks in the spring. The internship is paid $13.00 per hour.  

Key Responsibilities:  

Cataloging, photographing, housing, cleaning, condition reporting, inventorying, and packing collections, data cleanup, weekly environmental monitoring, and assisting with preparation for the annual Quest for the West ® Sale and Show and biennial Contemporary Native Art Fellowship.

Physical and Work Environment Demands: The Collections Intern role primarily involves working in office and collection storage environments within the museum, requiring the ability to sit, stand, and walk for extended periods, often moving between different areas. The position necessitates regular use of hands and fingers for handling objects, tools, or controls, and wearing gloves while performing delicate operations with fragile objects. Adequate vision and hearing are essential for tasks such as reading documents, using a computer, and communicating effectively with colleagues and members of the public. The role will require reaching with hands and arms, stooping, pushing, pulling, lifting and carrying objects between 10-50 lbs. short distances. The job also involves frequent repetitive motions, such as typing and using a computer mouse.

Manager of Facilities

Position title: Manager of Facilities

Position Overview: 

The Manager of Facilities is responsible for overseeing the maintenance, safety, and operational functions of the museum’s physical infrastructure. This role ensures that the museum’s facilities are safe, functional, and aligned with the needs of the institution, staff, and visitors. The Director will manage all aspects of facility operations, including buildings and grounds maintenance, sustainability initiatives, safety protocols, and capital improvement projects. 

Essential Duties and Responsibilities:

Facility Management: 

  • Manage the daily operations of all museum facilities, including exhibition spaces, storage areas, offices, and public spaces.  
  • Manage the work orders submitted to the CMMS system in a timely manner. 
  • Work with Director of Facilities Operations and IT to develop and implement strategies for maintaining the condition of museum buildings, systems, and equipment.  

  • Perform the maintenance and repair of HVAC, electrical, plumbing, and other systems, ensuring they meet safety standards and operational requirements.  
  •    Manage Facilities Technician and Facilities/Grounds Technician.  

Safety and Security: 

  • Ensure that the museum complies with local, state, and federal safety regulations and codes in partnership with HR Generalist.  

  • Collaborate with Crisis Team to develop and implement emergency preparedness plans and procedures, including fire safety and evacuation protocols.  

Budget and Resource Management: 

  • Work with the Director of Facilities, Operations, and IT to develop and manage the facilities department’s budget, track expenses, and ensure cost-effective operations.  

  • Identify opportunities for energy savings and sustainability, overseeing green initiatives such as waste management and environmental impact reduction.  
  • Source and oversee contracts for external services (e.g., maintenance, landscaping) to ensure quality and cost-effectiveness.  

Capital Projects and Renovations: 

  • Work with CEO, Director of Facilities Operations, IT, and the CFO, to plan and execute capital projects, including building renovations, upgrades, and new construction.  

  • Coordinate with architects, contractors, and vendors to ensure projects are completed on time, within budget and to high-quality standards. 

Collaboration and Leadership: 

  • Collaborate with museum departments (e.g., curatorial, visitor services, education) to ensure that the facilities support exhibitions, programs, and events.  
  • Provide leadership and guidance to facilities team members, fostering a culture of teamwork, professionalism, and continuous improvement.  
  • Develop and maintain relationships with external partners, including vendors, contractors, and city and state entities such as the White River State Park and DPW. 

Health and Environmental Compliance: 

  • Ensure that the museum’s facilities adhere to all health and environmental regulations, including air quality, lighting, and pest control.  
  • Collaborate with the Sustainability Task Force to meet goals of the action plan including waste reduction, energy efficiency, and green certifications.  

Emergency Response and Crisis Management: 

  • Respond promptly to emergencies, including building damage, system failures, and natural disasters. 
  • Coordinate with emergency services, insurance providers, and contractors to resolve issues quickly and minimize damage.  
  • Manage and participate in on call activities to ensure coverage overnight and on weekends. 
Requirements / Qualifications

The Education Manager is a full-time employee responsible for developing and overseeing educational programs, strategic initiatives, and community partnerships that align with the Museum’s mission, vision and values. This role collaborates with a cross-departmental team to create and deliver impactful educational programs, engaging experiences, and innovative content for K12 students, educators, and families. The position requires flexibility in work hours, including some evenings and weekends. Reporting to the VP for Public Programs and Beeler Family Director of Education, the Education Manager plays a pivotal role within the public programs division and has one direct report. 

Essential Duties and Responsibilities:

Program Development & Management 

  • Develop and manage educational programs, including budgeting, scheduling, contracts, and calendars. 
  • Oversee development, delivery, and ongoing evaluation of educational programming for K–12 audiences, including summer camps, homeschool events, and school tours. 
  • Ensure that educational program offerings meet professional standards for education and reflect the needs of the community. 
  • Design and implement evaluation tools to assess program effectiveness and ensure alignment with best practices. 

Supervision & Interpretive Volunteer Program 

  • Supervise departmental staff, interns, and volunteers. 
  • Partner with the VP of public programs and education to design and implement interpretive tours for K-12 audiences, and provide training for interpretive volunteers. 
  • Conduct tours for various groups as necessary. 

School & Educator Engagement 

  • Develop and strengthen relationships with local and regional schools, educators and administrators  
  • Collaborate with teachers, administrators, consultants, and/or community advisors to co-design high-quality, standards-based school programs and educational resources 

 Content Development & Cross Departmental Support 

  • Serve as subject specialist, researcher, writer, and audience advocate on educational aspects of museum projects, including special exhibitions. 
  • With a cross-departmental team, create educational tools and resources, develop and oversee educational website content, and write content for proposals and training materials. 
  • In collaboration with the marketing department, develop and execute plans to promote K-12 educational offerings to school audiences. 
  • Support the development department by providing program information for grant applications, sponsorship proposals, donor engagement, etc.

Maintenance Technician

Salary Range: $25 per hour

The Facility Technician is responsible for maintaining and repairing the facilities and equipment used in the operations of the museum. They are expected to work with various tools and perform tasks such as electrical and plumbing repairs, commercial HVAC repairs and maintenance, along with daily equipment inspections.

Job Description

Position title: Maintenance Technician

Reports to: Director of Facilities

Department: Facilities

Status: Full-Time

Position Overview: 

The Facility Technician is responsible for maintaining and repairing the facilities and equipment used in the operations of the museum. They are expected to work with various tools and perform tasks such as electrical and plumbing repairs, commercial HVAC repairs and maintenance, along with daily equipment inspections. 

Essential Duties and Responsibilities:

  • Maintains, replaces or repairs all machinery and building equipment as requested by Facilities leadership 
  • Repair and maintenance of the facility including drywall work, painting and finishing, doors, door hardware and windows 
  • Repair and maintenance of electrical equipment including motors, lighting and distribution.  This includes 480VAC 3 phase.  
  • Repair and maintenance of HVAC system components including chilled water system, steam distribution system, heat exchangers, air handlers and all other auxiliary components 
  • Repair and maintenance of all plumbing systems and components including drain lines, water supply lines and associated fixtures 
  • Utilize CMMS system for all work order tracking, PM information, spare parts information and troubleshooting history 
  • Knowledge of the BAS system with troubleshooting skills based on system information.  Also able to make needed adjustments to better support the museum.  
  • Exposure to indoor and outdoor environmental conditions, which include inclement weather, cold and hot temperatures and humidity 
  • Performs all forms of preventative maintenance as assigned for the museum facility 
  • Must be able to safely operate department power tools as assigned 
  • Must be able to safety operate Facilities department vehicles both on and off museum property.  
  • General labor assistance for housekeeping/facilities departments for special events and daily facility operation when needed, including weekends 
  • Responsible for regular seasonal snow removal as necessary utilizing manual tools and museum vehicle 
  • Adheres to all safety policies and wears proper safety equipment (PPE) including dust masks, respirators, goggles, hearing protection and safety harness 
  • Perform all other duties as assigned by Facilities team leadership.  
  • Maintain compliance with all company policies and procedures  
  • Work Annual Indian Market and Festival, 4th weekend of June

Qualifications and Work Experience Requirements:  

  • High School and/or Trade School graduate with 5-7 years of commercial building maintenance experience.  
  • Flexible hours with an average work week consisting of 40 Hours or less; flexible hours include evenings, weekends, and some holidays as needed. 
  • Strong technical knowledge of electrical circuits, including 480 VAC 3 phase, commercial HVAC systems, including chillers, steam, pneumatic controls and plumbing systems, including drain and water supply lines.  
  • Must have basic knowledge and aptitude working with audiovisual equipment for events, both in-house and rental. This includes but is not limited to sound systems, microphones and projectors.

Essential Duties and Responsibilities:

  Accounting Leadership & Financial Integrity 

  • Own the integrity of the general ledger and ensure timely, accurate monthly, quarterly, and annual closes in accordance with GAAP and nonprofit accounting standards 
  • Establish, maintain, and enforce a disciplined close calendar and reconciliation process 
  • Prepare and review complex journal entries, schedules, and balance sheet reconciliations 
  • Ensure accuracy of all financial records across unrestricted, restricted, grant, and endowment funds  

  Audit, Compliance & Internal Controls 

  • Serve as the primary lead for the annual external audit, including preparation of schedules, coordination with auditors, and internal controls documentation 
  • Strengthen and continuously improve internal controls, policies, and accounting procedures 
  • Ensure compliance with donor restrictions, grant requirements, and regulatory standards 
  • Maintain strict confidentiality of sensitive financial and personnel information 

  Budgeting, Reporting & Analysis 

  • Partner with the CFO to support annual budget development and periodic reforecasting 
  • Lead monthly budget-to-actual variance analysis and prepare clear narrative explanations 
  • Prepare monthly financial reporting packages for internal leadership and quarterly/annual reports for Finance & Investment Councils and the Board 
  • Provide financial insight and risk identification to support informed decision-making

  • Bachelor’s degree in accounting (required) 
  • CPA and/or CMA strongly preferred; active candidates encouraged to apply 
  • Minimum 7–10 years of progressive accounting experience, with at least 5 years in a senior nonprofit accounting or controller-level role 
  • Deep experience with nonprofit GAAP, FASB standards, and fund accounting

  • Proficiency in Microsoft Excel and Word

Essential Duties and Responsibilities:

 

Administration Assistance
  • Provide organizational support for curatorial, collections, and exhibitions team, including: scheduling and calendar management; taking minutes at meetings and distribution; filing/archiving digital and paper records; data entry
  • Serve as the first point of contact for external requests for information for curatorial, collections, and exhibitions staff.
  • Assisting with tracking department budgets and expenses.
  • Assist with coordinating travel logistics for internal staff and external visitors, which may include arranging itineraries, honoraria, travel, lodging, and meals.
  • Help connect the CC&E Division and other museum departments by sharing information, updating exhibition planning information and meeting minutes, and directing inquiries between departments.
 Imaging Services
  • For internal Eiteljorg publications and communications needs: provide support in identifying images and securing image rights; acquire copyright clearance for internal use, such as marketing, eMuseum, social media, etc.
  • Support and facilitate external requests for images from the Eiteljorg collection.
Exhibition Support
  • Assist curatorial team in researching and verifying information for exhibition writing and interpretation.
  • Assist with preparing Exhibition Team meetings and take meeting minutes.
  • Assist with art handling associated with exhibition installations or with collections care as needed.
Requirements / Qualifications

Qualifications and Work Experience Requirements:

  • BA in art, art history, museum studies, or related field; or equivalent experience. 
  • 2 years’ experience working in a museum, gallery, or other arts or cultural organization is preferred. 
  • Demonstrated ability to handle multiple tasks and remain flexible with changing priorities; organized and detail-oriented. 
  • Clear and effective communication skills, both verbal and written. 
  • Proficient with Microsoft Office Suite. 
  • Some experience with exhibition logistics, museum collections management software, and object handling is a plus. 
  • Some familiarity with Native American art and culture and/or Western American art is a plus.
