Retail Sales Associate

Job Description

Position title: Retail Sales Associate

Reports to: Manager of Retail Sales & Operations

Department: Museum Store (Earned Revenue)

Status: Part-Time

Position Overview:

The Retail Sales Associate at the Eiteljorg Museum will be the face of the store. You will provide excellent customer service and drive sales through your knowledge of sales. A deep commitment to the museum’s mission and the ability to cultivate a collaborative, results-oriented team culture are essential.

Essential Duties and Responsibilities:

  •  Provide knowledgeable and professional retail customer service in store, over the phone and online.
  • Maintain an attractive, neat and orderly sales area. Maintain neat and attractive merchandise displays.
  • Keep current on merchandise, educational information, trends, techniques of fine art, jewelry, as well as store policies and procedures.
  • Restock all merchandise and supplies in sales area.
  • Accurately receive, ticket, and place new merchandise out on the selling floor, safely and efficiently store back stock in the cage or under stock cabinets.
  • Complete daily sales reports and work logs. Service special transactions including opening memberships, accurately calculating shipping fees and completing a shipping form and performing opening and closing procedures.
  • Light housekeeping duties, vacuuming, dusting and glass cleaning.
  • Assist store management with duties as assigned.

  • Ability to stand and walk on feet for long periods of time (up to 8 hours); climb a 6 foot ladder and lift up to 50 pounds.

  • Must have a professional appearance and wear professional attire.

Essential Duties and Responsibilities:

Leadership and Strategy 

  • Provide strategic leadership for the Museum’s Development and Communications & Marketing departments. 
  • Collaborate with the CEO and Senior Leadership Team to align advancement priorities with institutional goals and the Museum’s strategic plan. 
  • Champion a museum-wide culture of philanthropy and audience engagement. 
  • Develop annual departmental goals, KPIs, and other metrics, as well as budgets; monitor progress and adjust strategies as needed. 
  • Serve as a key advisor to the CEO on all matters related to fundraising, marketing, and communications. 

Development and Fundraising 

  • Lead all aspects of the Museum’s fundraising efforts, including annual fund, membership, major gifts, corporate sponsorships, grants, and planned giving. 
  • Maintain a portfolio of major donors and prospects; personally cultivate, solicit, and steward significant gifts. 
  • Collaborate with the CEO and Board of Directors on donor engagement, solicitation strategies, and stewardship activities. 
  • Organize and motivate Board members, volunteers, and committees to actively participate in fundraising, donor cultivation, and special events. 
  • Ensure a balanced portfolio of contributed revenue, and collaborate with the CFO and finance team to track, forecast, and report on fundraising performance. 
  • Provide leadership for campaign planning, feasibility studies, and other special fundraising initiatives. 
  • Oversee donor recognition, stewardship, and engagement programs that deepen long-term relationships. 

Communications & Marketing 

  • Provide strategic oversight of the Museum’s brand, messaging, and communications to ensure consistency and alignment with institutional priorities. 
  • Oversee development and implementation of integrated marketing strategies to build awareness, increase attendance, and enhance audience engagement. 
  • Supervise public relations, media relations, digital marketing, advertising, and publications. 
  • Collaborate with colleagues to ensure cohesive storytelling across development, membership, and program areas. 
  • Utilize market research and data analytics to inform strategy and measure impact. 
  • Represent the Museum as a visible and articulate ambassador to internal and external audiences. 

 Board and Volunteer Engagement 

  • Partner with the CEO and Board of Directors to strengthen the Museum’s philanthropic reach, providing tools, training, and inspiration for their fundraising and ambassadorial roles. 
  • Engage volunteers, advisory councils, and committees (including Development Council, Marketing Council, and affinity groups) in advancing fundraising and communications efforts. 
  • Work with the CEO to ensure board members and volunteers are informed, engaged, and effective in donor cultivation and stewardship.

Essential Duties and Responsibilities:

Exhibition Management 

  • Manage all the associated logistics for incoming exhibitions including contract coordination, insurance, internal information needs for staff, working with Curators and Curatorial Assistant to facilitate exhibition team meetings. 
  • Oversee and manage the installation and de-installation of all exhibitions. 
  • Build and maintain the exhibitions schedule in consultation with the VP, Director of Exhibition & Graphic Design, and Preparator. 
  • Coordinate with the VP of Curatorial & Collections and Director of Exhibitions & Graphics to create and manage exhibition budgets. 
  • Contract, coordinate, and supervise outside contractors for exhibitions needs. 
  • Coordinate all transportation logistics associated with exhibitions (incoming and outgoing). Manage all courier arrangements for exhibitions. 
  • Oversee and participate in all unpacking and packing of loans and exhibitions.  
  • Perform and/or create incoming and outgoing condition reports. 
  • Inform and coordinate with Director of Facilities and Security Lead for incoming exhibitions security needs and loading dock use. 
  • Uphold collections care best practices, including safe object handling, accurate cataloguing, and ethical management of information. 
  • Transport of accessioned items from storage to gallery spaces. 
  • Maintain all paper and digital records for exhibitions. 
  • Other duties as assigned. 

 Incoming Loans Registration 

  • Coordinate all transportation logistics associated with incoming loans, from institutions, private collections, and artists. 
  • Manage all crating arrangements, including physical packing and unpacking. 
  • Ensure proper insurance is in place and paperwork issued/received. 
  • Manage all courier arrangements for incoming loans. 
  • Review and update AAM Facility Report for the Eiteljorg annually, coordinating with other departments to ensure accurate information. 
  • Ensure all loaned artwork is well-maintained and cared for including any exhibition maintenance and security lists. 
  • Maintain all paper and digital records for incoming loans; maintain working knowledge of data entry standards for The Museum System. 

 Quest for the West Art Show & Sale 

  • Direct artist contracts for the 50 artists participating in the annual Quest for the West Art Show and Sale, the museum’s largest annual fundraising event. 
  • Coordinate incoming art shipping/delivery from Quest artists. 
  • Manage installation and deinstallation of the Quest main sale and miniatures sale. 
  • Coordinate artwork dispersal following the show, scheduling artwork pickups and shipping to both buyers and artists. 
Requirements / Qualifications

Qualifications and Work Experience Requirements:

  • BA in art, art history, or related field, or equivalent experience; at least 5 years’ experience working with museum or gallery collections. Advanced degree in a related field preferred. 
  • Proficiency in collections management software, preferably The Museum System (TMS). 
  • Knowledge of collections care policies and procedures. 
  • Experience with exhibition logistics, including preparation, fabrication, shipping, and insurance. 
  • Experience with object handling and installation for art, historical, anthropological, or ethnographic collections. 
  • Familiarity with Native American art and culture and/or Western American art is preferred.

Essential Duties and Responsibilities:

 

Administration Assistance
  • Provide organizational support for curatorial, collections, and exhibitions team, including: scheduling and calendar management; taking minutes at meetings and distribution; filing/archiving digital and paper records; data entry
  • Serve as the first point of contact for external requests for information for curatorial, collections, and exhibitions staff.
  • Assisting with tracking department budgets and expenses.
  • Assist with coordinating travel logistics for internal staff and external visitors, which may include arranging itineraries, honoraria, travel, lodging, and meals.
  • Help connect the CC&E Division and other museum departments by sharing information, updating exhibition planning information and meeting minutes, and directing inquiries between departments.
 Imaging Services
  • For internal Eiteljorg publications and communications needs: provide support in identifying images and securing image rights; acquire copyright clearance for internal use, such as marketing, eMuseum, social media, etc.
  • Support and facilitate external requests for images from the Eiteljorg collection.
Exhibition Support
  • Assist curatorial team in researching and verifying information for exhibition writing and interpretation.
  • Assist with preparing Exhibition Team meetings and take meeting minutes.
  • Assist with art handling associated with exhibition installations or with collections care as needed.
Requirements / Qualifications

Qualifications and Work Experience Requirements:

  • BA in art, art history, museum studies, or related field; or equivalent experience. 
  • 2 years’ experience working in a museum, gallery, or other arts or cultural organization is preferred. 
  • Demonstrated ability to handle multiple tasks and remain flexible with changing priorities; organized and detail-oriented. 
  • Clear and effective communication skills, both verbal and written. 
  • Proficient with Microsoft Office Suite. 
  • Some experience with exhibition logistics, museum collections management software, and object handling is a plus. 
  • Some familiarity with Native American art and culture and/or Western American art is a plus.

Essential Components of Internship:

  • Attend relevant staff meetings to learn about the day-to-day logistics of program planning and implementation.    
  • Assist programs staff in developing and executing mission-related programs, including annual programs, special exhibition programming, and general museum programming.  
  • Assist programs staff with the set-up, staffing, and tear-down of programs.    
  • Serve as a point-of-contact for invited talent and artists, particularly as it relates to the annual Indian Market & Festival. Assist with artist inquiries via phone calls and email messages.
