VP of Advancement

As a member of the Executive Team, the Vice-President for Advancement will provide innovative leadership and strategic vision to all aspects of the Museum’s development, marketing and communication efforts, and work collaboratively with team members to establish and execute a plan for significant institutional growth. In collaboration with the CEO, staff and Board, they will be responsible for the creation and implementation of a comprehensive, strategic advancement program in all areas of fund-raising, donor cultivation, communications and outreach. The VP for Advancement will maintain a portfolio of major donors and will be responsible for securing major gifts aimed at meeting the strategic goals of the Museum to meet its mission.

Job Description

Position title: VP of Advancement
Reports to: President/CEO
Department: Advancement
Status: Exempt

 

Essential Duties and Responsibilities:

1. Individual Giving: Lead efforts to build deep and lasting relationships with individual members and donors to provide the foundation for annual operating support. Recruit, engage and retain general members and donors ensuring that our outreach efforts reflect the diversity of our community. Provide encouragement and incentives to move donors through the cycle of stewardship with increasing giving levels. Maintain excellent communications and provide compelling services including member/donor parties and events, travel opportunities and recognition. Grow the ranks of the museum’s planned giving, Harrison Eiteljorg and Eagle Societies to ensure the long-term growth of the museum’s endowment.

2. Corporate Sponsorships and Partnerships: Provide oversight of staff, board and volunteers to identify corporate partners to provide sponsorship support for museum exhibits, programs and events. Prioritize collaborations with businesses that are committed to DEAI values. Ensure department coordinates efforts with marketing staff and other related departments to leverage limited dollars through creative partnerships which more fully engage sponsors. Maintain a corporate membership program for smaller businesses.

3. Grants: Provide oversight of department’s efforts to aggressively identify sources and successfully secure grants. Ensure museum needs are matched with appropriate grant opportunities from private, city, state and national foundations. Prioritize funding opportunities working with the grants manager and curatorial and public programs teams. Actively seek opportunities from foundations and organizations that prioritize funding projects promoting diversity, equity, and inclusion. Provide general supervision of the grant application and reporting process to ensure timely and accurate proposal submissions and reports.

4. Marketing and Communications: Work closely with Director of Marketing and Communications to ensure marketing efforts are aligned with institutional priorities to increase attendance, drive earned revenue, donations, and recognition through earned and paid placements, locally, regionally and nationally. Work with WRSP attractions, Visit Indy, Downtown Indy and other regional assets to draw more attendees through promotions and collaborations. Ensure that our messaging and imagery are inclusive and representative, resonating with audiences from various cultural backgrounds. We can also leverage partnerships with diverse media outlets to amplify our reach and engagement. Implement a multifaceted communications strategy, including use of electronic mail, Website, social media platforms, print, radio and televised media to disseminate the museum’s mission, exhibitions and programs. Focusing on external communications to ensure consistent messaging and branding in all print and online donor, partner, and stakeholders materials.

5. Staff Development: Provide leadership, clear direction and effective mentoring for a staff of fundraising and marketing professionals. Recruit, train, evaluate and reward to achieve excellent staff performance. Engage non-development staff to assist with donor cultivation and facilitate a museum-wide culture of donor stewardship and philanthropy. Prioritize diversity and inclusion in hiring and training practices. Provide resources and support for ongoing DEAI education and awareness to empower staff to effectively engage with diverse stakeholders and cultivate inclusive donor relationships.

6. Volunteer Involvement: Work with the CEO to ensure board members are engaged and energized by their association with organization, and provide information as needed to board members on donor cultivation and fundraising techniques. Actively recruit volunteers from diverse backgrounds and provide training on DEAI principles to ensure that our volunteer teams reflect the communities we serve. Effectively organize, deploy and motivate volunteers in the fundraising process, including board members, advisors, council members and campaign volunteers. Ensure development staff effectively liaise with the Development Council, the Hawthorn Society, and other volunteer fundraising committees.

7. Systems: Ensure systems are in place for tracking donor activity, providing timely communication, accurately recognizing donors and maintaining the museum’s standards for quality in its patron relations. Develop effective working relationships, work flow and procedures with the museum’s CFO and between the development department and accounting team. Maximize use of Raiser’s Edge software through implementation of NXT upgrade, tracking donor, sponsor and community partner contacts consistently. Collaborate with the CFO and VP of Administration to develop and produce regular analytic reports for the CEO and Executive Committee of the Board that synthesize the financial progress and trends of fundraising activities. Ensure that tracking and reporting processes capture data related to donor diversity and inclusion. Foster innovation in the development and implementation of donor management systems and processes, leveraging technology to streamline workflows, improve data accuracy, and enhance the donor experience. Encourage collaboration with IT and data analytics teams to develop innovative solutions for tracking donor activity and measuring fundraising performance.

8. External Affairs: Serve as an ambassador and spokesperson for the organization as needed, and articulate our mission to external constituents, partner organizations, and potential funders. Prioritize DEAI values in external communications and partnerships to attract funders and supporters who share our vision for positive social change.

Requirements / Qualifications

Education and/or Work Experience Requirements:

  • Bachelor’s degree required.
  • Ten plus years of direct experience in leading the development function for not-for-profit organizations.
  • Experience in leading major gifts, capital campaign, corporate giving relationships, both federal and foundation grants and planned giving efforts.
  • Demonstrated ability to develop deep and long-term relationships with major individual donors resulting in significant annual gifts, multi-year capital pledges and estate gifts; demonstrated ability to secure 7-figure and above gifts.
  • Proven and exceptional skills in engaging donors in the life of not-for-profit organizations; maintaining a personal and empathetic approach while realistically managing donor expectations; ability to facilitate relationships between donors and other team members including the CEO, and board members.
  • Experience in successfully organizing and motivating board members, volunteers, committees and staff members to cultivate and secure contributions.
  • Excellent written and verbal communication skills, management of time and multiple priorities, ability to comprehend, analyze and report on financial data, ability to organize and manage donor stewardship plans, marketing and communications and balance attention between details and broad strategy.
  • Proven track record of establishing aggressive but achievable goals, creating a plan and strategies and successfully executing them to achieve goals.
  • Proven history of successful team work, cooperation with co-workers, informal leadership across organizational divisions and building a culture of philanthropy and marketing. Contribute to a positive working environment and cooperate with co-workers.

Physical Requirements:
• Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
• Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.

Job Description
Position title: Retail Sales Associate
Reports to: Manager of Retail Sales & Operations

Status: Nonexempt / Part-time

Essential Duties and Responsibilities:

  1. Customer Service & Sales: Maintain an overall positive, willing, and welcoming disposition and provide exceptional customer service in store, over the phone and online by staying current on merchandise trends, fine art, and jewelry to deliver excellent product knowledge and make attractive recommendations to customers.
  2. Merchandising: Maintain an attractive and orderly sales area and merchandise displays that align with the Museum’s exhibitions, programs, and event for our diverse customer base. Restock merchandise and update pricing as needed to ensure an exceptional shopping experience.
  3. Inventory: Accurately receive, ticket, and place new merchandise onto the selling floor and safely and efficiently store back stock in designated storage areas. Participate in the Museum Store’s annual inventory audit.
  4. Administrative: Complete daily sales reports and work logs. Perform special transactions including opening memberships, accurately calculating shipping fees and completing shipping forms, and performing opening and closing procedures.
  5. Housekeeping: Regularly vacuum, dust, and clean all areas of the Museum Store to maintain an exceptional level of cleanliness for our customer base.
  6. Training & Development: Attend and participate in staff meetings and other activities, as required. Complete required training related to Diversity, Equity, Accessibility, and Inclusion (DEAI), specific job function, safety, and policies and procedures.
  7. Assist Manager of Retail Sales & Operations with other duties as assigned.
Requirements / Qualifications

Education and/or Work Experience Requirements:
• High School degree plus two years retail sales experience
• An interest in and knowledge of American Indian & Western art and culture
• Commitment to Diversity, Equity, Accessibility, and Inclusion (DEAI)
• Ability to operate a point of sale terminal and calculator
• Flexibility to work days, weekends and occasional evenings
• Ability to stand and walk on feet for long periods of time (up to 8 hours); climb a 6 foot ladder and lift up to 50 pounds.
• Contribute to a positive working environment and cooperate with co-workers
• Must have a professional appearance and wear professional attire
